At TapTime, we take your privacy seriously. This policy describes how we collect, use, and protect your personal information.
1. Information We Collect
We collect information you provide when creating an account, booking sessions, and using our platform. This includes your name, email, optional date of birth, payment details, and session content (audio, transcripts, and AI-generated summaries as described in Section 4).
2. How We Use Your Information
Your information is used to provide and improve our services, process payments, send notifications, deliver AI-generated session summaries, and ensure platform security. We do not sell your personal information to any third party.
3. Data Protection
We implement industry-standard security measures to protect your data, including encryption in transit and at rest. Session recordings and transcripts are stored securely and accessible only to authorized personnel and the session participants.
4. AI Session Summaries
We automatically transcribe and summarize consultation sessions using third-party AI services, and email the resulting summary to you and your expert. This feature is enabled by default and is governed by Section 5 of our Terms of Service. The subsections below explain the privacy aspects specifically.
4.1 Sub-processors
To provide AI summaries, we share session audio and transcripts with the following sub-processors:
- Oracle Cloud Infrastructure (OCI) — temporary audio chunk storage during the session.
- OpenAI, L.L.C. — transcription via the Whisper API and summary generation via the GPT-4o API. Under OpenAI's standard API terms, inputs are not used to train their models.
- Twilio SendGrid — email delivery of the summary to you and your expert.
Each processor operates under its own terms and privacy policy. We do not share session content with any party other than those listed above and the session participants themselves.
4.2 Retention and deletion
Audio chunks are deleted from Oracle Cloud Infrastructure immediately after transcription. The full transcript and AI-generated summary are stored briefly to send the summary email, then automatically purged from our database within 24 hours.
A short high-level record (session title, topic tags, and action items list) is retained in your account history so you can refer back to what was discussed. You can delete this record at any time from your session history. If you delete your account, the high-level record is deleted alongside your account data.
4.3 Opting out
You can disable AI summaries at any time under Account Settings → Preferences → AI Summary. When disabled, we will not transcribe your audio, generate a summary, or email one to anyone. Changes apply to future sessions only.
4.4 Users under 18
AI summaries are not available for users under the age of 18. If our records indicate a user is under 18, audio from their sessions will not be transcribed and no summary will be generated or delivered, regardless of the opt-in setting.
5. Your Rights
You have the right to access, correct, or delete your personal data. You can manage your preferences in your account settings or contact us directly for any data subject request.
